How to Onboard Talent

Add your clients to IPX, set commission structures, and start managing their careers

Prerequisites: You need an active Talent Agent account with a completed profile and verified identity (KYC). Your agent account must be approved before you can invite clients.

Step-by-Step Guide

Navigate to Agent Dashboard

Your Agent Dashboard is your command center for managing talent:

  • Log in to IPX and navigate to Dashboard from the top navigation
  • Your Agent Dashboard displays your client roster, pending invitations, commission summary, and recent activity
  • Click "Clients" in the sidebar to access client management
  • Click the "+ Add Client" button to begin onboarding

Send Client Invitation

Invite your client to join IPX using their preferred contact method:

Email Invitation

Enter your client's email address. They'll receive a branded invitation email with a unique signup link that automatically associates their account with yours.

SMS Invitation

Enter your client's phone number to send a text message with a short invite link. Great for quick onboarding on mobile.

Copy Invite Link

Generate a unique invite link to share directly via DM, WhatsApp, or any messaging platform your client prefers.

You can optionally include a personalized message with the invitation. Invite links expire after 30 days and can be resent if needed.

Client Accepts and Creates Account

When your client clicks the invite link, they go through a streamlined signup:

  • The invite link opens a pre-filled signup page showing your name as the inviting agent
  • Client creates their account with email/password or Google OAuth
  • Their account is automatically tagged as a "Creator" role
  • They confirm the agent-client relationship during onboarding

Note: You'll receive a notification when your client creates their account and confirms the relationship. You can track pending invitations in your Clients tab.

Link Client to Your Agent Profile

Once your client creates their account, the agent-client relationship is established:

  • If they used your invite link, the connection is automatic — no extra steps needed
  • For existing IPX users, go to Clients → Link Existing User and enter their email or username
  • The client receives a confirmation request and must approve the connection
  • Once linked, you gain access to manage their deals, track commissions, and view their activity

Set Commission Structure

Configure how you earn from your client's platform activity:

  • Commission Percentage: Set the percentage you earn on client deals. Standard industry rates range from 10–20%. Both parties must agree to the rate.
  • Commission Sources: Choose which deal types your commission applies to — sponsorship deals, token sales, brand partnerships, and campaign payments.
  • Agreement Terms: Set the duration of the agent-client agreement and any special terms. IPX generates a digital agreement for both parties to sign.

Tip: Commission structures can be updated later, but changes require mutual agreement and take effect from the date both parties sign the amendment.

Help Client Complete KYC and Profile Setup

Guide your client through completing their platform presence:

  • KYC Verification: Direct your client to Settings → Verification to submit identity documents. This unlocks all platform features including receiving payments.
  • Profile Completion: Help them fill out their bio, upload portfolio pieces, connect social media accounts, and set their rates.
  • Wallet Setup: Guide them through setting up their embedded wallet for receiving payments from deals and campaigns.

Pro Tip: Clients with complete profiles and verified KYC get 3x more inbound inquiries from agencies and brands. It's worth the 15-minute investment.

Managing Multiple Clients

As your roster grows, use these tools to stay organized:

  • Client Roster View: See all clients in a sortable list with their status, active deals, and recent earnings at a glance
  • Onboarding Checklist: Each client has a progress tracker showing incomplete setup steps — KYC, profile, wallet, social connections
  • Bulk Invitations: Upload a CSV of client contacts to send multiple invitations at once for efficient onboarding
  • Client Groups: Organize clients by category (actors, musicians, digital creators) for easier management and reporting

Best Practices

Onboard clients with a personal touch

Walk your first few clients through the process on a call. Once they're comfortable, share the invite link and let them self-serve.

Prioritize KYC completion

Clients can't receive payments without KYC. Make this the first thing they complete after account creation to avoid delays on deals.

Discuss commission structure upfront

Have the commission conversation before sending the invite. Surprises about fees erode trust. Be transparent about your rates.

Help with profile optimization

A strong profile attracts better opportunities. Help clients write compelling bios, select their best portfolio pieces, and connect all social accounts.

Keep your roster manageable

Quality over quantity. It's better to deeply manage 10 clients than superficially manage 50. Scale your roster as you build systems.

Troubleshooting

Client didn't receive invitation

Problem: You sent an invite but your client says they didn't get it.

Solution:

Try the following:

  • Ask them to check spam/junk folders for emails from IPX
  • Verify you entered the correct email address or phone number
  • Resend the invitation from your Clients → Pending Invitations tab
  • Try a different method (SMS instead of email, or share the invite link directly)
  • Check that the invitation hasn't expired (30-day validity)

Can't link an existing user

Problem: Your client already has an IPX account but you can't connect them as your client.

Solution:

This can happen for several reasons:

  • The client may already be linked to another agent — only one agent relationship is active at a time
  • Ensure you're using their exact registered email or username
  • The client must accept the connection request from their end
  • If they have an existing agent, the previous relationship must be terminated first
  • Contact support for help with complex situations

Commission structure not saving

Problem: You set up the commission percentage but it reverts or doesn't apply.

Solution:

Commission setup requires mutual agreement:

  • Both agent and client must sign the digital agreement
  • Check if the client has a pending signature request in their notifications
  • Ensure the percentage is within the platform's allowed range (typically 5–30%)
  • If modifying an existing structure, both parties must approve the change

Client's KYC keeps failing

Problem: Your client has submitted KYC documents multiple times but verification fails.

Solution:

Common KYC issues and solutions:

  • Documents must be current (not expired) government-issued photo ID
  • Photos must be clear, well-lit, and show all four corners of the document
  • Name on documents must match the account name exactly
  • Selfie verification requires good lighting and no glasses/hats
  • Some document types may not be accepted — try passport if national ID fails
